What is a cover letter?

This is a document that is sent along with a resume. It is a very important document that is among the basic determinants of whether one is to be shortlisted or if one’s resume is to be overlooked. This explains why considerable time should be devoted to ensure that an efficient document is developed right from the start. A cover letter should follow the basic format of business letters and address why you are writing, what you have to offer and how one will follow up.

What should be included in the cover letter?

The following sections should be included in a cover letter:

  • An appropriate salutation is an integral part of a good cover letter. It is usually placed at the beginning of the cover letter or message. It is important to include names of contact persons in case you have them. For example: Dear Mr. Kisembo.
  • The most important part of a cover letter is the body. This is a section which includes the paragraphs where you explain why you are interested in and qualified for the job for which you are applying. You should write about why you think you are the most suitable and qualified candidate for the job you are applying for.
  • Contact information for a potential employer to contact you. You can include basic contact information like a telephone number and an email address.
  • It’s also important to close you letter formally. For example: Sincerely yours.
  • Add your signature.

How long should a cover letter be?

Three to four paragraphs of one to three sentences each should form your cover letter. You should be able to introduce yourself in the first paragraph, stating how you found the employer and what position you hope to fill.

In the second paragraph use a few facts or figures that will make the reader want to call you for a job interview. This might be a time to correlate prior job responsibilities and accomplishments to requirements in the new position, or to reveal extraordinary skills or accomplishments such as language proficiency.

In the third paragraph, mention why you are the best suitable candidate.

The fourth paragraph serves as an elegant exit. This super short paragraph should include a “thank you” for time spent, permission to call you that makes it clear you look forward to the conversation, and your phone number. Try to convey all this in a gracious manner!
